Who does scan the mail?
Your mail is scanned by our especially trained employees who are required to provide a "polizeiliches Führungszeugnis" - a paper on this person issued by the police departments on request listing all possible former law vilations committed by this person - upon employment without any records.
Which techniques do you use for scanning?
We use personal computers with Windows or Apple OS and XEROX scanners with up-to-date features and good ecological balance.
How often is the mail box checked?
We check the mail box every other day at first. Electronic delivery takes place within two hours after pick up.
How do you organize the filing?
For every customer a separate file is created with subfolders for each topic. In case of large daily mail volumes or specific customer requirements a package upgrade can be agreed on for customized organization and storage.
Where do you store the personal files?
The customer files are stored in a safety room with a fire protection system based on dry foam in airtight and closed safe lockers. Upon request the scanned mail can additionally be stored on our on our daily back-upped servers
Which means of delivery can I use for the scanned mail?
Your mail can either be simply sent to you via email or can be stored in a shared collaboration room like googledocs. Upon request you can switch modes of delivery. For future development and if interest in this solution is high enough the set up of an online d-mail box for every customer in a portal solution is planned.
Which means of delivery can I use for the original mail?
The original mail is either delivered to you via insured DHL parcel at a yearly deadline to an address agreed upon with you or can by picked up in by you or an authorized representative at our office after mutual agreement.
How do you assure confidentiality?
Our employees sign a general non-disclosure agreement (NDA) upon employment and oblige themselves to fine payments in case of their breaking the NDA.
How do you ensure completeness?
At irregular intervals you will receive test mail (either openly indicated as such or as lookalikes of the mail you usually receive) which we send to you in order to assure our quality of service via internal checks. We hope for your understanding of the necessity of such procedures. Also we ask you for your prompt feedback of any inconsitancies or doubts you have so we can immediately react.
